These terms will apply to any booking you make, whether made online, over the phone, or through email correspondence. Our services include tours, packages, and excursions within the Cappadocia region and beyond, and all of them are governed by these terms and conditions.

We recommend that you read through this document thoroughly, and if you have any questions, do not hesitate to contact us. Your booking represents your acceptance of these terms, and no alterations will be made unless explicitly agreed upon by both parties in writing.

2. Booking Process and Payment Terms

2.1 Payment Methods

For the convenience of our customers, we accept online payments via our secure payment gateway. All payments made online or upon arrival are inclusive of VAT, unless stated otherwise in the offer or agreement. You may also pay by bank transfer, credit card, or through other methods we may offer.

2.2 Deposit Payment

Some specific tours and multi-excursion packages require a deposit payment due to the demands of our tour suppliers. The required deposit can vary depending on the nature of the tour and will be between 10% and 50% of the total cost. Once the deposit is received, we will send you an e-ticket with the payment details, confirming the booking and the remaining balance due.

The balance of the tour cost must be paid in full prior to the start of the tour, as specified in the confirmation email. If a payment is not received by the due date, we may cancel your reservation, and any deposit paid will be non-refundable.

2.3 Website accuracy

Although Cappadocia Woi Tour Travel make every effort to ensure the accuracy of the website information and pricing, regrettably errors do occasionally occur. You must therefore ensure you check the price and all other details of your chosen arrangements with us at the time of booking.

3. Cancellation Policy

3.1 Cancellations Made by Cappadocia Woi Tour Travel

In rare cases where Cappadocia Woi Tour Travel must cancel a tour due to unforeseen circumstances (such as weather conditions, force majeure, or any situation beyond our control), we will issue a refund for the amount paid by the customer. This refund will cover only the amount you have paid for the tour and not any incidental costs such as flights, accommodations, or personal expenses.

3.2 Cancellations Made by You

We understand that plans change, and we try to offer flexible cancellation options:

• More than 7 days before the tour: You will receive a full refund.
• 3 to 7 days before the tour: You will receive a 50% refund.
• Less than 3 days before the tour: No refund will be available, as it is too close to the departure date.

Please notify us of any cancellations as soon as possible to ensure that we can process the refund promptly.

4. Alterations to Booked Tours

At Cappadocia Woi Tour Travel, we strive to meet our customers’ needs and expectations. However, due to operational changes or unavoidable circumstances, we reserve the right to alter any part of the program. This can include changes in the itinerary, transportation, or accommodation, which may be necessary for operational, legal, or safety reasons. In such cases, we will notify you as early as possible and provide suitable alternatives.

4.1 Altering Your Booking

If you wish to alter your tour, such as changing the date or swapping your tour for another, please notify us at least 2 days prior to your scheduled tour date. We will do our best to accommodate your request and will not charge any additional fees for these changes, as long as the request is made within the provided timeframe.

5. Responsibility and Liability

5.1 Our Responsibility

We make every effort to ensure the smooth operation of the tours we provide. However, we are not responsible for any delays or changes caused by factors beyond our control, including but not limited to:

• Weather conditions
• Delays or cancellations by airlines or other transportation providers
• Force majeure (e.g., natural disasters, strikes, political unrest)
• Illness or accidents during the tour

We will provide alternative solutions or a full refund when necessary, depending on the situation.

5.2 Your Responsibility

You are responsible for ensuring that you are fit to undertake the activities included in the tour. By booking with us, you confirm that you do not have any medical or physical conditions that would prevent you from participating in the tours or activities. If you have special requirements (e.g., dietary restrictions, mobility issues), please inform us in advance so we can make necessary arrangements.

6. Travel Insurance

We strongly recommend that you purchase comprehensive travel insurance to cover potential risks during your trip, including but not limited to cancellations, lost luggage, health issues, accidents, and theft. Travel insurance is your responsibility, and we cannot be held liable for any issues that arise which could have been covered by insurance.

7. Health and Safety

Your safety and well-being are our priority. During your tour, please follow the guidelines provided by our guides and staff. Any safety regulations or instructions must be adhered to at all times. In case of an emergency, please contact our tour guide or a representative of Cappadocia Woi Tour Travel immediately.

8. Personal Data Protection

We respect your privacy and are committed to protecting your personal information. All personal data collected through our booking process will only be used for the purpose of processing your booking and improving our services. We will never share your personal information with third parties, except as required by law or for the execution of the tour services.

9. Force Majeure

In the event of a situation beyond our control, such as natural disasters, extreme weather, government restrictions, or any event classified as “force majeure,” we reserve the right to alter or cancel the tour. In such cases, we will offer alternative arrangements or a full refund depending on the circumstances.
10. Flight Information and Rights

As a part of your travel arrangements, flights are often included in your holiday package. Under EU law, in certain circumstances, you are entitled to compensation and/or reimbursement from the airline for issues like denied boarding, flight cancellations, or significant delays. Full details of your rights under EU regulation are publicly available at EU airports and from the airline itself.

Please be aware that any reimbursement or compensation related to flight delays or cancellations is the responsibility of the airline and does not automatically entitle you to a refund of the total holiday price from Cappadocia Woi Tour Travel. Your rights for a refund and/or compensation from us are clearly defined in Clause 9 of these Terms and Conditions.

In cases of delay due to reasons not classified as Force Majeure, and specifically for the main flights included in your holiday package, the following guidelines apply:

• If the delay exceeds 4 hours, you will be entitled to light refreshments provided by the airline.
• If the delay exceeds 6 hours, you will be entitled to a main meal.
• In the event of a longer delay, we will ensure you receive meals and, when necessary, appropriate accommodation depending on the time of day.

Please note that, at the time of booking, we may not always be able to confirm the airline carrier, aircraft type, or exact flight timings. In such cases, we will inform you of the carrier(s) and any changes to the flight details as soon as we become aware of them. The information provided on our website and your confirmation invoice regarding flight details is for guidance only and may be subject to alterations.

The final flight timings and carrier details will be shown on your tickets, which will be sent to you approximately two weeks prior to departure. We advise that you carefully check your tickets upon receipt to ensure that the flight times are correct. Please note that, even after tickets have been dispatched, flight times may be subject to changes. In such cases, we will notify you as soon as possible.

Any changes to the carrier(s), flight timings, or aircraft type do not entitle you to cancel your booking or change arrangements without incurring our normal cancellation or amendment charges.

This website and the information provided by Cappadocia Woi Tour Travel are the sole responsibility of our company as your tour operator. We are not responsible for the operations or commitments of the airlines mentioned, nor do we represent them in any way.

Please also note that, in accordance with Air Navigation Orders, an infant is defined as a child under the age of 2 years on the day of the return flight. 11. Complaint

While we strive to provide the best possible experience for all our clients, we understand that, in some rare instances, things may not go as planned. If, for any reason, you have a complaint or experience any issues with your holiday arrangements during your trip, it is important that you notify us immediately.

Please inform Cappadocia Woi Tour Travel’s representative and the supplier of the service(s) involved, and complete a report form while still at the resort. Most issues or complaints can be resolved while you are still on your trip, and we will make every effort to assist in resolving them as quickly as possible.

Please do so within 10 days of your return, providing your booking reference and detailed information about the complaint, along with any relevant documentation. Keeping your complaint clear and concise will help us address your concerns faster.

Please also refer to Clause 12 below regarding TURSAB membership and how complaints are handled in accordance with industry standards.

Note: Failure to follow this procedure may hinder our ability to investigate and address your complaint while you are in resort, potentially affecting your rights under this contract.

12. What Happens to Complaints

As a TURSAB member (membership number: 18066), Cappadocia Woi Tour Travel is committed to maintaining high standards of service as per TURSAB’s Code of Conduct. In the unlikely event that we are unable to resolve your complaint, we encourage you to visit www.tursab.org.tr for further information on the Code of Conduct and the dispute resolution process.

For additional support, you may also consider contacting ABTA, an organization that provides guidance and assistance with resolving travel-related disputes. Please visit www.abta.com for more details on their procedure.

13. Dispute Resolution

Any disputes that arise from this contract or related to the services we provide shall be resolved in accordance with Turkish Law. The competent court for such disputes shall be located in Nevşehir, Turkey, unless otherwise agreed upon.

14. Final Provisions

By making a booking with Cappadocia Woi Tour Travel, you acknowledge that you have read and understood these terms and conditions and agree to abide by them. We reserve the right to update or amend these terms from time to time, and we will notify you of any changes on our website.
